The Wisconsin Policy Forum and Milwaukee Community Justice Council are jointly seeking an Administrative and Membership Assistant to support the efficient operations of both organizations. WPF houses the CJC Executive Director and associated staff; the two organizations are co-located in our Milwaukee office, which means they can easily share a position.
The ability to multi-task, while maintaining schedules and managing administrative support, is essential in this position. The ideal candidate for this job is upbeat, resourceful, a good problem solver and organized. This position will work closely with the WPF Development & Operations Director and the CJC Executive Director. The successful applicant will have an exciting opportunity to take part in all of the elements of nonprofit management and to gain knowledge of nonprofit fund development strategies and practices.
General administrative and clerical support, including the scheduling and preparation for committee meetings and other meetings as assigned.
Assist with meeting and event logistics; print and maintain registration lists and name tags; collect names for tables at events.
Assist WPF Development & Operations Director with implementation of membership and development strategies, including scheduling meetings with prospective donors and maintaining effective board and member communications.
Maintain and update membership records, including email distribution lists; send acknowledgement letters as needed.
Manage credit card bill receipts and other invoices; maintain files for both.
Assume responsibility for coordinating maintenance of office equipment, including computers, copy machines and fax machines.
Maintain office supplies (in both Milwaukee and Madison offices) by checking inventory and order items.
Maintain and organize all HR files; ensure that all employees are up to date on relevant paperwork; responsible for organizing paperwork for new and departing employees.
Respond to questions and requests for information; forward to appropriate staff member as needed.
Edit and proofread written meeting materials to ensure accuracy.
General website maintenance and document uploads to the CJC website using a web content management system (TitanCMS) (html skills are not required).
The ideal candidate for this job is resourceful, a good problem solver, and organized.
3-5 years’ experience and Bachelor’s degree preferred.
Ability to handle multiple tasks and pivot easily from task to task.
Knowledge and competence in administrative practices, database management, and Microsoft Office suite. Experience with Google suite is a plus.
Familiarity in converting files and uploading documents to the cloud.
Detail oriented and comfortable working in a fast-paced office environment.
Exceptional communication skills.

A rate of $18 to $20 per hour will be offered based on the qualifications and experience of the successful applicant. It is anticipated that the position will require an average of 25-30 hours per week (M-Th or M-F), though hours may vary somewhat depending on the needs of the organizations and the availability of the successful applicant.
